MSJC Social Media Management Guide
(Appendix to AP 3330 – Social Media Procedures)
This guide outlines expectations and best practices for College-affiliated social media accounts to ensure they reflect MSJC’s mission, vision, and values, while maintaining consistency with institutional branding standards.
- Professionalism: Posts must represent MSJC in a positive, respectful, and professional manner.
- Consistency: Follow MSJC branding standards (see Board Policy 3320 and Administrative Procedure 3320).
- Accessibility: Include “alt text” for images, captions for videos, use clear and inclusive
language, and tag official MSJC accounts when appropriate.
Account Creation & Oversight
- Departments/Employees: Must obtain email approval from their department administrator and final approval from Public Information, Marketing & Strategic Communications (PIMO) before creating an account. Each account must have at least two administrators, one of whom must be the Director of Public Information, Marketing & Strategic Communications or designee.
- Clubs/Student Organizations: Must obtain approval from their advisor, the Student Life & Development administrator, and PIMO. Accounts must have at least one College employee as administrator. Login information must be stored by PIMO. Contact Jesus Velasco at jvelasco@msjc.edu to share credentials via a phone call (not email or chat).
- Content Flow: All official College-related content should be posted first on the main MSJC accounts, then shared by departments, clubs, or individuals. Personal accounts should not be the initial source of official information.
For Employees:
- Share program updates, student achievements, event information, and initiatives that support MSJC’s mission.
- Avoid personal communications, unprofessional wording, or posts unrelated to College business.
- Ensure posts adhere to MSJC branding standards and AP 3330.
For Students & Student-Led Accounts:
- Must follow Student Services’ social media guidelines to maintain brand consistency.
- Content should focus on club activities, student engagement, and positive representation of MSJC.
- All content is subject to monitoring by College employee administrators.
Account administrators must remove prohibited content immediately. Examples include:
- Derogatory or harassing language
- Tone does not reflect the respectful and positive image expected of College-affiliated accounts
- Inappropriate, obscene, or incriminating images
- Partisan political or religious activity
- False or misleading information
- Posts offering goods/services for personal profit
Do Share:
- Student success stories, faculty/staff highlights, and program achievements
- Event announcements, deadlines, and opportunities for student involvement
- Partnerships and community engagement
Do Not Share:
- Unprofessional videos or captions that could misrepresent MSJC and risk reputational harm
- Content inconsistent with the College’s mission and vision
- Examples: posts with poor wording, suggestive undertones, or inappropriate humor, risk of being interpreted as demeaning or unprofessional toward individual, groups, students, colleagues, etc.
- Administrators must check accounts weekly for accuracy, prohibited content, and responsiveness.
- Inactive accounts (12+ months without posting) may be deactivated by PIMO.
- Violations may result in content removal, account closure, or disciplinary action.
