Budget Committee Meeting
Minutes

April 16, 2002

The meeting began at 3:32 p.m. with Becky Elam (co-chair), Dewey Heinsma (co-chair), Carol Montez, Laurel Jones, Dennis Hogan, Ron Bowman, Don Robinson, Gale Ward, Greg Estrada, Karen Watts, and John Norman. Mayda Rivera, ASB representative, was absent.

The committee welcomed Laurel Jones and Don Robinson who will replace Dennis Anderson and Rolando Regino.

• On motion by Dewey Heinsma and seconded by Greg Estrada, the minutes for March 19, 2002 were approved.
  
  
• Teri Sisco from the purchasing department gave a report about the District's lease with Xerox Corporation.
  • The lease term is five years; we are in the second year.
  • Pricing is competitive with other similar companies.
  • It is substantially more affordable to lease than to purchase. Servicing, maintainance, supplies and replacing older machines with newer machines to keep up with technology are benefits of the current lease agreement.
  • According to Xerox's proposal the District should realize a $300,000 savings over a five-year period if the District utilizes all features available on their machines.
  • Some features are impractical for District use and will not be utilized, such as scanning.
  • Other features, such as faxing directly from the computer, will be available in the future.
    
    

  Suggestions for reducing costs:

  • Replacing high-end machines with lower end machines as determined by department needs
  • Changing the print shop to a separate pool
  • Charging back to departments for over-the-limit usage
  • Setting up computers for direct faxing
  • Increasing digital storage to decrease hard copy storage whenever possible
    
    
• Carol Montez reported on status for District's 50% Law. According to preliminary calculations as of April 12, 2002, the District is at 48.38% compliance. Deadline is June 30; the District must be in compliance or will not receive full funding. There are many goals on the Fifty Percent Law Compliance Plan that have been met and some which can still be applied in the remaining months. Carol will give updated calculations at the next meeting.
